Terms and Conditions of Service

1. Who we are
SololaTech ("we", "the provider") offers business management systems on a subscription model, including the Inventory System and the Clinical System (together, "the service"). Creating an account gives you access to the dashboard and lets you explore the products; taking out a plan requires you to expressly accept these terms and the Privacy Policy through the checkbox shown before checkout begins. Your acceptance is recorded together with the document version, the date, the account and the technical data needed to evidence the act.
2. Account and access
You sign in with your Google account or with an email address and password. You are responsible for keeping your credentials confidential and for the activity carried out with your account. You may create accounts for your employees within your business; those accounts remain under your administration and responsibility, can reach only your company's data, and their access depends on your subscription being current.
3. Plans, prices, taxes and payments
The plans, their features and their limits (for example: number of users, number of products, and features such as the optimised mobile view or the advanced reports) are described on the products page and may differ between plans. The price, the currency, the interval and any applicable tax or charge are shown before you confirm checkout. Payments are processed through Stripe on a recurring basis, monthly or yearly, according to the plan chosen. Prices may be updated; any material change will be announced in advance and will apply from the next billing period.
4. Plan changes
Upgrading applies immediately: you get the features and limits of the higher plan straight away, and the proportional difference for the current period is charged.
Downgrading applies at the end of the period you have already paid for: you keep the features you paid for until the last day, and the next invoice is issued at the new plan's price. Plan changes do not generate refunds or credits for the current period.
Your data is never deleted because of a plan change. If after downgrading you exceed one of the new plan's limits (for example, more products or users than allowed), the existing information is kept and stays visible; the system only blocks the creation of new records while you are over the limit. Where users are in excess, the administrator and the longest-standing users keep access until the plan's allowance is filled; the administrator can reassign those places by deactivating users or upgrading the plan.
5. Trial period
Some plans include free trial days with no card required. The trial is one per account and per product, whichever plan you choose; during the trial you can change plan without the end date being extended. If the trial ends without a valid payment method, the subscription is cancelled automatically and the data retention policy in section 8 applies — if you subscribe within that window, you get your information back.
6. Failed payments and grace period
After a failed payment we grant a grace period during which access continues and the processor retries the charge. If the charge is not completed when the grace period ends, the subscription is suspended until payment is brought up to date. Your data is not deleted because of a suspension; once payment goes through, access is restored automatically.
7. Cancellation and reactivation
You can cancel at any time from your dashboard ("Manage payment"), with no penalty and no phone calls. Cancelling stops future charges and access continues until the end of the period already paid for; before that date you can undo it from the dashboard itself at no cost. Once cancellation takes effect, you can subscribe again within the retention window (section 8) and recover your business with all its data.
8. Data retention and deletion
After cancellation we keep your business data for 90 days. Within that window you can: (a) reactivate your subscription and get everything back exactly as you left it, or (b) export your data from the system (Settings → Export my data). We will warn you by email before deletion. Once the window has passed, the data is deleted permanently and irreversibly, and the deletion is recorded in our audit log.
9. Your data and your ownership
The data you record in the system (products, sales, customers, and so on) is yours. We act as data processor in order to provide the service to you, in accordance with the Privacy Policy. Each company operates in an isolated data space: you and your employees can reach only your own business's information.
10. Acceptable use and responsibility for the data
You may not use the service for unlawful activities, attempt to reach other companies' data, overload or breach the platform's security, abuse trial periods through duplicate accounts, or resell the service without authorisation. If you use the Clinical System, you declare that you are authorised to record your patients' information and that you will use its features as an administrative tool, not as a substitute for professional judgement and not for handling emergencies. Failure to comply may lead to suspension or termination of the account.
11. Availability and support
We work to keep the service continuously available, without guaranteeing uninterrupted availability. Support is provided through the channels published on the home page, during business hours in Guatemala.
12. Limitation of liability
The service is provided "as is". To the fullest extent permitted by law, our total liability is limited to the amount paid for the service over the last 12 months. We are not liable for losses arising from incorrect information entered by the user or from use of the system outside its purpose.
13. Changes
We may update these terms; material changes will be announced in the dashboard or by email. Continued use of the service after that notice constitutes acceptance.
14. Governing law and jurisdiction
These terms are governed by the laws of the Republic of Guatemala. Any dispute will be submitted to the competent courts of Guatemala City.
